Privacy Policy

Sentivaraa provides an AI voice agent that answers and places phone calls on behalf of businesses. This policy explains what information we handle, why, and what we do not do with it.
It covers two groups of people: the businesses that use Sentivaraa (“customers”), and the people who speak to a Sentivaraa agent on the phone (“callers”).
Information we collect
Business account information. When a business signs up we collect the account holder’s name and email address, the business name, address, timezone and business type, and the phone number assigned to their AI agent.
Call information. When a call is answered or placed by a Sentivaraa agent we record the phone numbers involved, the time and duration, an audio recording of the call, a written transcript, and an AI-generated summary. Where a business uses our campaign features, we also store the contact list they upload and the outcome of each call.
Appointment information. If a caller books an appointment, we store the name, phone number, requested service and time they provide.
Payment information. Subscriptions are billed through Stripe. Card details are entered directly with Stripe and are never stored on our systems.
Usage information. We record standard technical logs, such as request times and error events, to operate and secure the service.
How we use information
We use the information above to:
- Answer and place calls, and hold the conversation with the caller.
- Book, reschedule and cancel appointments in the business’s calendar.
- Produce call summaries and follow-up recommendations for the business, so they can see what was discussed and who to contact next.
- Honour do-not-call requests. When a caller asks not to be contacted again, we add their number to that business’s suppression list and stop calling it.
- Send the business notifications about their account, usage and call activity.
- Bill subscriptions, prevent abuse, and keep the service running securely.
We do not sell personal information, and we do not use call content for advertising.
Google user data
Connecting a Google Calendar is optional. A business only shares Google data with us if they choose to connect their calendar so the AI agent can book appointments.
When connected, we request these permissions and use them only as described:
- See and edit events on your calendars (
calendar.events) — so the agent can create an event when a caller books an appointment, and update or cancel it if the appointment changes. - See your calendars (
calendar.readonly) — so the agent can check which times are already busy and avoid double-booking. This includes appointments the business added themselves, directly in Google Calendar. - Your email address — so we can show which Google account is connected, and reconnect the right one later.
We read only the busy/free times needed to check availability, and we write only the appointment events booked through Sentivaraa. We do not read the contents of unrelated calendar events, and we do not access Gmail, Drive, Contacts or any other Google service.
Limited Use disclosure
Sentivaraa’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically, we do not use Google user data to serve advertising, we do not sell it, we do not transfer it to others except as needed to provide or improve the calendar booking feature, to comply with the law, or as part of a merger or acquisition, and we do not allow humans to read it except with the business’s explicit consent, for security purposes, to comply with the law, or where the data has been aggregated and made anonymous. We do not use Google user data to develop, improve or train generalised artificial intelligence models.
A business can disconnect their Google Calendar at any time from the Integrations page in their dashboard. Disconnecting revokes our access immediately and deletes the stored access credentials. Access can also be revoked directly at myaccount.google.com/permissions.
Call recording and transcription
Calls handled by a Sentivaraa agent are recorded and transcribed so the business can review what was said and so the agent can summarise the conversation.
On outbound calls, the agent identifies itself as an AI assistant at the start of the call. Businesses using Sentivaraa are responsible for confirming they have a lawful basis to call the people on their lists and to record those calls, including any notice or consent their jurisdiction requires.
If you spoke to a Sentivaraa agent and want your information removed, contact the business that called you, or email us at support@sentivaraa.com and we will put you in touch with them and honour any do-not-call request in the meantime.
Service providers we share data with
We use a small number of processors to deliver the service. Each receives only what it needs to perform its function:
- Telephony and voice — to carry calls, convert speech to text and generate the agent’s voice.
- AI model providers — to hold the conversation and to analyse transcripts into summaries and follow-up recommendations. Transcripts sent for analysis are not used by us to train AI models.
- Hosting and database — to run the application and store your data.
- Email delivery — to send account and call notifications.
- Payments — to process subscriptions.
We may also disclose information where required by law, or to protect the rights, safety and property of Sentivaraa, our customers, or the public.
How long we keep information
Call records, recordings, transcripts and summaries are retained for as long as the business’s account is active, so they remain available in their dashboard. Do-not-call entries are kept indefinitely by design — deleting them would allow a number to be called again after someone asked us to stop.
When an account is closed, we delete or anonymise its data within 90 days, except where we must retain records to meet legal, tax or accounting obligations.
How we protect information
Data is transmitted over encrypted connections (HTTPS/TLS) and stored in an access- controlled database hosted by our infrastructure provider. Access to production systems is limited to the small number of people who need it to operate and support the service.
No system is completely secure. If we become aware of a breach affecting personal information, we will notify affected customers and any regulator as required by law.
Your rights
Depending on where you live, you may have the right to access, correct, export or delete personal information we hold about you, to object to certain processing, and to complain to a data protection authority.
Businesses can access and export most of their data directly from their dashboard. For anything else, email support@sentivaraa.com and we will respond within 30 days.
Where a business uses Sentivaraa to call people, that business is the controller of the contact information it uploads and we act as its processor. Requests about a specific call are best directed to that business, and we will help you reach them.
Children
Sentivaraa is a business tool and is not directed at children. We do not knowingly collect personal information from anyone under 16.
International transfers
We and our service providers operate in Canada and the United States. If you access Sentivaraa from elsewhere, your information may be transferred to and processed in those countries, which may have different data protection laws than your own.
Changes to this policy
We may update this policy as the service changes. We will update the date at the top of this page, and for material changes we will notify account holders by email.
